Privacy Policy

Overview

Rovicoach is a voice-first leadership coaching service operated by Rovi Studio OÜ (Pargi 19, 50103 Tartu, Estonia).

We collect and process only the information needed to run your account, deliver live coaching sessions, store the session records you keep, process purchases when offered, provide support, and keep the service secure.

We do not sell your personal data or share it for advertising.

Information We Collect

We collect information in these main categories:

a. Account Information

When you sign in with a supported identity provider (Google Sign-In or Sign in with Apple), we receive identity details such as:

• Your name and email address
• Profile photo URL if provided by the identity provider
• A unique account identifier

b. Coaching Profile & Preferences

• Coach voice or persona preference and onboarding choices
• Optional first name or other profile fields you provide
• Goals, patterns, commitments, and similar coaching memory you create in the product

c. Session Content

• Live voice audio is processed in real time to run the coaching conversation
• We design the product so session audio is not stored by Rovicoach after the live session
• Structured session summaries may be stored so you can review past coaching
• Verbatim transcripts, when retained, are kept separately and for a shorter period than summaries, and may be limited or removed by privacy controls in the product

d. Payment & Balance Data

• When you purchase coaching time or other paid features with card checkout, Stripe processes the payment
• We do not store full payment card numbers
• When Stripe checkout is used, we receive payment confirmation, purchase status, and related transaction identifiers needed to credit your coaching-time balance and keep accounting records

e. Service & Technical Data

• Device and browser type, IP address, and access logs (for security and reliability)
• Product usage events needed to operate features such as notifications, gifts, invites, minutes balance, or session limits
• Aggregated analytics that help us improve Rovicoach

How We Use Your Information

We use the data we collect to:

1. Authenticate you and maintain your Rovicoach account

2. Deliver live AI voice coaching sessions

3. Generate and store session summaries and (where enabled) transcripts

4. Power in-product features such as commitments, patterns, reminders, and coach preferences

5. Process purchases via Stripe (when card checkout is offered) and credit or meter your coaching-time balance

6. Send service notifications you enable (for example push notifications)

7. Enforce access rules (including invite-only or gift access) and prevent abuse

8. Improve reliability, security, and product quality

We do not use your coaching conversations for third-party advertising.

AI and Voice Processing

To deliver live voice coaching, Rovicoach uses third-party AI providers that process audio and related session content in real time.

Your browser may connect directly to the AI provider for the voice session. We mint short-lived credentials so the session can run; we do not use your coaching audio as a general advertising dataset.

Those providers process data under their own terms and privacy policies as subprocessors for this purpose.

Data Retention

We retain different types of data for different periods:

• Account and coaching profile data while your account remains active
• Session summaries for as long as needed to provide your history, unless you delete them or your account
• Transcripts for a shorter retention window when they are stored, and they may expire automatically
• Payment and transaction records for as long as needed for accounting, tax, dispute handling, or legal obligations
• Security and operational logs for a limited period needed for security and troubleshooting

When you delete your account or specific records through the product, we remove or anonymize associated personal data within a reasonable period, except where retention is legally required.

Your Rights

As an EU-based service, Rovicoach complies with the General Data Protection Regulation (GDPR).

You have the right to:

• Access the information we hold about you
• Correct or update inaccurate information
• Request deletion of your account or specific coaching data
• Object to processing that is not required for service delivery
• Receive a copy of your data in a portable format where applicable

Data Security

We take data security seriously and apply safeguards such as:

• Encrypted connections (HTTPS)
• Authenticated access to account and coaching data
• Restricted access to production systems
• Separation of short-lived transcripts from longer-lived summaries where the product supports it

While no system can be 100% secure, we maintain technical and organizational measures to reduce risk.

Sharing of Information

We do not sell, rent, or trade your personal coaching data.

We may share limited data only with:

• AI voice providers, to deliver live coaching sessions
• Identity providers (Google and Apple), for sign-in
• Stripe, to process card payments and related billing events when checkout is offered
• Hosting and infrastructure providers (such as Google Cloud or Firebase) for platform operations
• Notification or messaging providers, when you enable push or similar alerts
• Legal authorities, if required to comply with Estonian or EU law

Partners that process personal data for us do so under data-processing terms consistent with GDPR.

International Data Transfers

Our infrastructure, identity, payment, and AI providers may process or store data outside Estonia or the EU.

Where personal data is transferred internationally, we use appropriate GDPR safeguards (such as Standard Contractual Clauses) when required.

Cookies and Analytics

Rovicoach uses cookies and similar technologies needed to run the service.

• Essential cookies / storage keep you signed in and maintain session security
• Analytics may measure aggregated product usage to improve Rovicoach

You can control non-essential cookies in your browser; doing so may limit some features.

Legal Basis for Processing

We process your data under one or more of the following legal bases:

• Contract performance – to provide the Rovicoach coaching service and process purchases you request
• Legitimate interest – to secure, maintain, and improve the service
• Legal obligation – where we must retain or disclose information under law (including payment records where required)
• Consent – where the product asks for it (for example certain optional notifications), which you can withdraw

Children

Rovicoach is not directed to children and is intended for adult users.

We do not knowingly collect personal data from children. If you believe a child has used the service, contact us and we will take appropriate steps.

Changes to This Policy

We may update this Privacy Policy as Rovicoach evolves or as required by law.

When we do, we'll post the updated version and update the "Last updated" date at the top.

If material changes occur, we'll provide a reasonable notice through the service or by email when appropriate.
